2010 National Congress & Trade Show
August 11-14, 2010
Hartford, CT
A few items to make note of change due to partnership agreement with USAG and USGSA: all of these dates and times will be on the forms and in the exhibitor information. Any of this may be subject to a slight change, if some tweaking needs you take place between USAG and USGSA.
· Vendors may begin to set up booths on Tuesday, August 10. Companies with multiple booths ( 4 or more) will be requested to begin on Tuesday. The convention services contractor will set appropriate times for assembly. More later.
· However, the Tuesday set up may determine your hotel and flight needs with regards to dates for coming to Hartford, CT. Please plan accordingly.
· Please note that all booth set up for Tuesday, 8/10 will end at 4:30 pm. After that time, over time fees apply to all.
· Booth set up and move-in will continue on Wednesday, August 11 beginning at 8:30 am. All booth set-up must be completed by 4:00 pm on Wednesday.
· National Congress registration will open at 12:30 pm on Wed., 8/11. We will remain open until 6:45 PM.
· The Exhibit hall will open for Industry/USGSA (Industry Plus members -holding both memberships) members on Wednesday, 8/11 from 5:00 – 7:00 pm. A social will take place in the hall and all members from the business conference, various courses and other Wednesday activities will be invited to attend this special opening. A special invitation to club owners attending congress will go out and all other registered congress attendees may come in for this early showing. Only those exhibitors who are dual members will be able to be at their booths. This is a special partnership agreement which is new for 2010.
· Industry Plus members may schedule private appointments with clients/customers on Thursday and Friday from 7:30 – 9:00 am. This is by invitation only. Saturday hours will be from 8:00 am – 9:00 am. The hall will not be officially opened at this time of private scheduled appointments.
· Hall hours are on Thursday and Friday from 9:00 am – 5:45 pm. From Saturday from 9:00 am – 1:00 pm. Exhibit hall closes for move-out on Saturday at 1:00 pm.
· Congress sessions will be scheduled to take place in the Hall. Sessions in the hall will begin with the 10 am session.
· Concessions will be planned for in the hall for snacks and lunch.
· Congress sessions will take place on the 2nd floor of the Connecticut Convention Center beginning on Thursday and will run through Saturday. Session hours are as follows:
· 8:30 – 9:30 am, 10 – 11 am, 1 pm – 2 pm, 2:15 – 3:15 pm, 3:30 – 4:30 pm. Lunch break every day will be 2 hours from 11 am – 1 pm.
· The convention services contractor will be selected by March 30. The RFP is due to me on March 15.
Please go to the Connecticut Convention Center website and download their rules and regulations. It is imperative that you familiarize yourself with all regulations. Note for those of you who will be selling materials, you must apply for the CT sales tax. Information on these requirements will be sent to exhibitors.
Hotel Info:
The convention center is attached to the Marriott Hotel. There are other hotels that will also be used for congress attendees. Sheraton, Hampton Inn, Crowne Plaza and Holiday Inn Express. There will be a free bus shuttle from hotels to other areas such as CC and Visa Championships in the XL Center.
The general message on hotels is “book your rooms now.”
The hotel information is on the NTS website/USA Gymnastics site. You can reserve you hotel room now for National Congress & Trade Show 2010. There is no designation for a hotel headquarters since there is no large block at any hotel since hotels in Hartford are small. The Marriott is connected to the convention center. It is also the most expensive. The other hotels are near and are on the shuttle bus line route. It is encouraged to book your rooms ASAP especially if you would like to stay at the Marriott. If you have other loyalty programs, there is a choice with Sheraton, Crowne Plaza, Holiday Inn Express and Hampton Inn.
